Generate Report - Product Ledger

The Product Ledger report in your POS system provides a detailed record of all product-related transactions. It helps businesses track the movement of their inventory, including sales, purchases, and adjustments, over a specified time frame. The report also highlights initial and final product quantities, empowering you to manage inventory efficiently.

1. Access the Report Section

  • Navigate to the Reports section of your dashboard.
  • Select Generate Report from the list of available reports.

2. Define the Report Parameters:

  • Category: Ensure that Product is selected as the category.
  • Report: Choose Product Ledger from the report options.
  • Report Description: This report provides a thorough record of your product transactions, showcasing transaction dates, types (sale or purchase), quantities, as well as the initial and final quantities of a specific product.

3. Set Date and Time Range

  • In the Start Date and End Date fields, specify the date range for the report.
  • Optionally, set specific times using the Start Time and End Time fields.
  • You may also use present options such as Today, Yesterday, This Week, Last Week, This Month, Last Month,
    This Year, or Last Year for convenience.
  • For a complete dataset, click All.

4. Select the Product

  • Product Search Field: In the Product search bar, enter the product code or name. Alternatively, scan the product barcode for quick input.
  • Magnifying Glass Icon: This is for advanced product search, where you can enter the product name, description, or barcode for a more refined search.
  • Plus Sign (Green Button): Click this button to add new products that are not yet incorporated into the POS system.
  • Lookup Option: Use this option to lookup products based on categories.

5. Generate the Report

  • After completing all selections, click the Submit button.
  • The system will process your request and display the report data based on your selected criteria.

Report Content

The Product Ledger report will include: - Date: The date and time when each transaction occurred. - Type: Identifies the nature of the transaction: - SALE: Product sold to a customer. - PURCHASE: Product purchased or received into stock. - RECONCILE: Manual stock adjustments or reconciliations. - Customer/Supplier Name: Shows the customer or supplier involved in the transaction. - Reference: Additional notes or reference codes related to the transaction. - Quantity: Displays the quantity of products involved in each transaction. - Starting Quantity: The product's stock count before the transaction. - Ending Quantity: The stock count after the transaction.

Export and Print Options:

  • Use the Export button to download the report in Excel format.
  • Click the Print button for a hard copy of the report.
  • Adjust visible columns to tailor the report display using the Columns button.

By leveraging the Product Ledger report, businesses can track inventory movement, identify discrepancies, and ensure accurate stock management for improved operational efficiency.
